Draft pending legal review. Placeholders marked [LIKE THIS] must be completed before the marketplace accepts payment, and the hosting locations in section 7 must be confirmed against the regions actually chosen. This is not legal advice.
1. Who is responsible for your data
No New Clubs ("we", "us") runs the marketplace at nonewclubs.com. For the purposes of UK data protection law we are the data controller for the personal data described here.
We are [REGISTERED COMPANY NAME], registered in England and Wales under company number [COMPANY NUMBER], registered office [REGISTERED ADDRESS]. Our ICO registration number is [ICO REGISTRATION NUMBER].
For anything about your data, email hello@nonewclubs.com.
2. What we collect
We try to collect as little as we can get away with. Today that is:
When you list a club
| What | Why we need it |
|---|---|
| Your first name | Shown on the listing so buyers know who they're dealing with |
| Your town | Shown on the listing; buyers care where a club is coming from |
| Your email address | To confirm the listing, tell you when it sells, and send your postage label. Never shown publicly |
| Photographs of the club | Shown on the listing. Please don't include yourself, other people, number plates or your address in shot |
| Club, condition grade and price | The listing itself |
When you buy a club [ONCE PAYMENTS ARE LIVE]
| What | Why we need it |
|---|---|
| Name and delivery address | So the club can be posted to you |
| Email address and phone number | Order confirmation and delivery updates |
| Payment details | Handled entirely by [PAYMENT PROVIDER]. We never see or store your card number |
Automatically
Our hosting provider keeps standard server logs — IP address, browser type, pages requested, timestamps — for security and to keep the site running. We do not currently run any analytics or advertising trackers.
3. Why we use it, and our legal basis
- To run a sale — listing, selling, posting, paying out, handling disputes. Legal basis: performance of a contract.
- To keep the marketplace safe and honest — reviewing listings before they go live, investigating fraud or misdescription. Legal basis: legitimate interests, namely running a marketplace people can trust.
- To meet legal duties — tax and accounting records. Legal basis: legal obligation.
- To email you about the service — confirmations, postage labels, dispute updates. Legal basis: performance of a contract. These are not marketing and you cannot unsubscribe from them while a sale is live.
We do not send marketing email unless you have asked for it, and if we ever do you can opt out at any time.
4. What other people can see
A live listing shows your first name, your town, your photographs, the club, the grade and the price. It does not show your email address, your full name or your full address.
When a club sells, we share the buyer's delivery details with the carrier so the club can be posted, and we tell the seller enough to complete the sale. Buyers and sellers do not get each other's email addresses from us.
5. Who we share it with
We do not sell your data, and we do not share it for anyone else's advertising. We do use service providers who process data on our behalf:
| Who | What they handle |
|---|---|
| Vercel | Website hosting, server logs, and storage of listing photographs |
| Neon | The database holding listings and seller contact details |
| Google Fonts | Serves the site's typefaces. Your browser requests these from Google, which receives your IP address |
| Tailwind CDN | Serves the site's styling code |
| [PAYMENT PROVIDER] | Takes payments and pays out sellers [ONCE LIVE] |
| [CARRIER] | Delivery and tracking [ONCE LIVE] |
We may also disclose data where the law requires it, or to establish or defend a legal claim.
6. How long we keep it
- Listings that never sold — kept while live, then deleted within 12 months of being withdrawn or rejected.
- Completed sales — kept for six years, because tax law requires records of transactions.
- Listing photographs — deleted with the listing, unless they are evidence in an unresolved dispute.
- Server logs — kept for a short period by our hosting provider for security purposes.
7. Where your data is stored
Our database and photograph storage are hosted in [CONFIRM REGION — e.g. EU or US]. Some of our providers are US companies. Where personal data is transferred outside the UK, that transfer is covered by the safeguards those providers put in place, such as the UK Addendum to the EU Standard Contractual Clauses.
If you would like detail on a specific provider, ask us.
8. Cookies and tracking
We currently set no advertising or analytics cookies, which is why you are not being nagged by a cookie banner. The only browser storage we use is strictly necessary to make the site work — for example, holding an admin session while a member of our team is signed in.
If we add analytics later, we will update this policy and ask for your consent first where the law requires it.
9. Your rights
Under UK GDPR you can ask us to:
- Show you the personal data we hold about you.
- Correct it if it is wrong.
- Delete it, where we do not need to keep it for a legal reason such as tax records.
- Restrict or object to how we use it, including anything we do on the basis of legitimate interests.
- Send you a copy in a portable format.
Email hello@nonewclubs.com and we will respond within one month. There is no charge.
10. Security
The site runs over HTTPS, payment details are handled by our payment provider rather than by us, and access to seller contact details is restricted to the people who run the marketplace.
No system is perfectly secure. If a breach affects your rights, we will tell you and the Information Commissioner's Office as the law requires.
11. Children
The marketplace is for adults. You must be 18 or over to buy or sell here, and we do not knowingly collect data about children. If you think a child has given us their details, tell us and we will delete them.
12. Changes
We will update this page if what we do with your data changes, and change the date at the top. If a change is significant, we will tell you directly.
13. How to complain
Come to us first — hello@nonewclubs.com. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
